Atosa Catering Equipment, Inc. is an international innovative leader in commercial catering equipment located with 12 locations throughout the United States of America. As a fast growing company, we are seeking talented Service Dispatcher to join our team.

Job Description:

Our company is searching for an ambitious and hardworking professional to Maintain the Service Technicians daily schedules and dispatch the technicians to service calls as needed. Track the progress of Technicians to provide the most up to date information to the customers. Contact customers as necessary to schedule initial service, provide estimated time of arrivals, verify arrival confirmations, and conduct follow ups. Always maintain a calm, courteous, and professional customer service attitude. Maintain the customer database and service call information with current customer information. Must provide clear and concise communications with department managers, employees, and company customers. Assists and fills in for Office Administrator as necessary. Must aid in the completion of any miscellaneous needs of the Atosa office assigned. Reports to Atosa Branch Operations Manager and Atosa Service Manager. Must be able to work under minimal supervision.


  • Customer Service: Take incoming customer calls, schedule and coordinate service calls as they are received, contact customers to schedule service calls, provide estimated time of arrival, verifying completion of service call, conducting follow ups and confirming that everything was completed to the customers,
  • Scheduling: Maintain the dispatch board / schedule, forecast workload for 2 to 3 days out,
  • Record Keeping: Upload updated documentation to the Atosa storage site, maintain customer history files in database and file service orders, update service database from service tickets.
  • Warranty Parts: Create a list of parts used by technicians for warehouse for truck restock, prepare paperwork for all manufacture warranty parts, and facilitate return of warranty parts.
  • Tracking: Compare service timecards and work orders to service schedule, compare time cards to GPS Report, check service time cards for accuracy.
  • Office Administrator duties as needed
    • Order Processing: Receiving orders, verifying in QuickBooks that items on the POs are current and in stock, verifying that the client is within their credit terms, confirming receipt and availability with customers, informing the customers of the freight charges that will be incurred for their order, inputting orders into QuickBooks, creating the shipping documents for the order, providing the proper documentation to the warehouse.
    • Shipping Related Tasks: Providing freight quotations to customers inquiring or placing orders, creating Bill of Lading, creating shipping templates for each pallet shipping out, creating packing slips in QuickBooks, providing all documentation to the warehouse in a timely manner.
    • Invoicing: Creating packing slips for all orders before they leave the facility to ensure the customer is within their credit terms, turning those packing slips into invoices including freight, determining the reason for returned products and creating credit memos.
    • Record Keeping/Filing: Keeping a daily filing system for inventory related tracking (including: a PO, BOL, PL, and invoice for each order shipped each day attached to a daily log of these orders and a physical count from the warehouse for the day), keeping a filing system for the customer related documentation (including PO’s Invoices, Payment Copies, and any other important customer related documents).
    • Customer Service: Communicating on the phone and via email with the customers, knowing what information can and cannot be provided to the customers, properly answering calls and taking messages.
    • Reporting: Completing the weekly inventory report that is to be submitted weekly to Operations Director in HQ, verifying the accuracy of the report by checking it against QuickBooks records and daily out records.
    • Other duties as assigned


  • Education: Associate’s degree
  • Advanced customer service skills.
  • Strong communication and interpersonal skills.
  • Ability to prioritize and multi-task in fast paced environment.
  • Geographical knowledge of service area or map reading skills.
  • Computer skills.
  • Knowledge of industry is recommended, but not required.
  • Job Field: 2- 4 years.
